Before you start
Bring the current hosting decision, data map, dependency inventory and a proposed destination with evidence. Identify the client approver, technical operator and anyone who must review legal or contractual implications. Use hypothetical destination labels until actual offers are confirmed.

State the problem and the alternatives.
Start with the reason for the change: an application requirement, an operational constraint, a supplier change or observed connectivity. Define the outcome the client wants and how it will be checked. “Closer to users” is incomplete unless the relevant user networks and tasks have been identified.
Compare the move with a smaller change such as adjusting the application or its external dependency. If no proposed option resolves the requirement with adequate evidence, the correct decision can be to wait. A deadline does not turn an unknown country or an untested dependency into a confirmed fact.

Build a before-and-after record.

Attach the evidence behind each entry. Separate what is unchanged from what still needs verification. A provider’s generic regional description does not establish the location or capacity of the specific offer you intend to use.

Keep different approvals distinct.
The client may approve business impact and contractual requirements; an operator authorizes technical actions within an agreed boundary; qualified advisers assess the legal questions that apply to the project. One approval does not automatically replace another. Record who is deciding what, against which version of the proposal.
Where international data-transfer rules apply, the EDPB explains that transfer conditions sit alongside other processing obligations. That is a reason to bring the changed facts to the project’s advisers, not to infer compliance from a country name or client signature. EDPB: international data transfers ↗
If a required reviewer cannot answer because evidence is missing, record the request and keep the decision pending. Avoid ambiguous consent such as “looks fine” attached to a proposal that later changes.

Prepare the sequence and acceptance criteria.

Use a separate restore rehearsal to test the destination before the actual switch. Check permissions, files, application tasks and permitted integrations. Define which actions may create new writes and how they affect any decision to return to the source. Keep outbound jobs and notifications controlled in the test environment.

Make the approval operationally useful.

Decision: pending until open evidence is resolvedThe record should be understandable to someone who did not attend the planning call. Include links to the exact evidence and planned checks. Do not put passwords, actual client records or personal access tokens into the dossier.

Verify the outcome and update the standing records.
After an authorized move, record the actual destination and performed checks, identify any deviations and obtain the agreed acceptance. Update the data map, operating brief, monitoring endpoints and recovery notes. Retire the old service only after the data and cancellation plan has been followed.
If acceptance fails, use the documented decision point and data-aware recovery procedure. Do not quietly relabel an incomplete move as successful. Keep the client informed through the agreed contact and record the unresolved work.
Hosmio offers Switzerland, Iceland, Panama, Malaysia, Romania; the country selection is part of the VPS configuration.
